How versions work

In the BuildColab file manager a file is a document with a history, not a single upload. Versions are numbered 1, 2, 3 and so on. The newest is marked current (текуща); it is what everyone sees when they open, preview or download the file. A new version is added when:

  • you click Upload New Version (Качване на нова версия) in the version history;
  • you click Save (Запази) in the in-browser editor;
  • you upload a folder and choose Upload as a new version in the dialog Some files already exist;
  • you restore an older version;
  • BORO uploads a new version for you after you approve it.

Older versions stay unchanged. The file keeps its name, its sharing and its comments across versions. Each comment remembers which version it was written on, and the Comments panel groups older comments under a separator Version {n}.

When a new version is added, everyone with access to the file gets a notification, for example {name} uploaded 1 new version of "{file}". Several new versions on the same day are grouped into one notification. In the file list the file shows the chip Revised (Преработен) for 7 days.

  1. The tag current (текуща) marks the version everyone sees now.
  2. Each row is one version, Version {n} (Версия {n}), with its size, the person who added it and the date.
  3. The download button downloads exactly that version.
  4. Restore (Възстанови) makes an older version the newest again; it is not shown on the current version.
  5. Upload New Version (Качване на нова версия) adds a new version from your computer.

How to upload a new version

  1. In the file manager, right-click the file and choose Version History (История на версиите).
  2. Click Upload New Version (Качване на нова версия).
  3. Choose the new file on your computer. It must have the same extension as the original, for example .dwg for a .dwg file.
  4. Wait for New version of "{file}" uploaded successfully. The new version becomes current.

How to view an older version

  1. Open the file in the editor or the 3D viewer by clicking it in the file manager.
  2. Click the History (История) tab in the top right.
  3. Next to the version you want, click View (Преглед).
  4. The document shows the banner Viewing version {n} (read-only) (Преглеждате версия {n} (само за четене)). You can read it and see its comments, but not edit it or add comments: You cannot comment on a previous version of this file.
  5. Click Back to latest version (Към последната версия) to return to the current version.

For a 3D/CAD model, an older version that was never processed shows This version is not yet ready for viewing.

  1. The History (История) tab opens the list of versions beside the document.
  2. The banner Viewing version {n} (read-only) with Back to latest version and Restore this version.
  3. The marker Current (Текуща) shows the newest version.
  4. View (Преглед) opens another version read-only.

How to restore an older version

  1. Open Version History (История на версиите) from the file's menu in the file manager, or the History (История) tab in the editor.
  2. Next to the version you want back, click Restore (Възстанови) in the dialog. In the panel, click View (Преглед) on that version and then Restore this version (Възстанови тази версия) in the banner above the file.
  3. The message Restored version {n} of "{file}" confirms it.

Restoring does not delete or roll back the newer versions. It copies the old version on top as a new, highest version, which becomes current. If version 5 is current and you restore version 2, the file now has version 6 with the content of version 2, and versions 3 to 5 are still in the history. Everyone with access gets the notification {name} restored an earlier version of "{file}". Restoring needs Edit access; otherwise you see Write permission is required to restore a version.

How to download a specific version

  1. Right-click the file and choose Version History (История на версиите).
  2. Click the download button in the row of the version you need.

The download contains exactly that version's content. Download in the file's menu always downloads the current version.

Versions and deletion

Versions belong to the file. You cannot delete a single version. When you delete the file, all its versions go to the Trash with it, and a restore from the Trash brings them all back. After 30 days in the Trash the file and all its versions are removed for good. See Trash and restoring.

Common questions

How do I replace a drawing with a revised one and keep the history?

In the file manager, right-click the existing drawing, choose Version History (История на версиите), click Upload New Version (Качване на нова версия) and pick the revised file with the same extension. Do not upload it as a separate file; that creates a second file named for example "Plan (1).pdf".

Why do I get "The file must have the same extension as the original."?

A new version must be the same file type as the original. You cannot upload a .pdf as a new version of a .dwg file. Upload the PDF as a separate file instead, or choose a file with the matching extension.

If I restore an old version, do I lose the newer ones?

No. Restoring copies the old version on top as a new version. All newer versions stay in the history, and you can restore any of them later.

Why can't I restore a version?

Restoring needs Edit (Редакция) access to the file. With Read or Comment access you see Write permission is required to restore a version. Ask the file's owner to give you Edit access, or ask them to restore it.

Why can't I comment on an old version?

Older versions are read-only, including their discussion. Comments are added to the current version. You can still read the comments that were written on older versions; they are grouped under Version {n} in the Comments panel.

Can I delete one version of a file?

No. Versions cannot be deleted one by one. If an old version must disappear, delete the whole file; all its versions go to the Trash.

Who uploaded each version?

The Version History dialog shows the author and the date of each version. The editor's History tab shows the same.
