Where to start an export
- BoQ editor — Export (Експорт) in the Exchange family of the action bar. Always available, also on old versions and read-only BoQs. Only here can you choose the Scope and apply on-screen filters.
- Offers page — the Export button on an offer card, without opening the BoQ. Draft cards and the budget have no such button; use the editor.
- Contract details — the export button of a contract with a contractor.
All three open the same wizard Export bill of quantities (Експорт на количествено-стойностна сметка). Opened outside the editor, the Scope step is not shown and the standard layout is generated from the base version.
The export wizard step by step
The wizard of the BoQ export shows only the settings that make sense for the BoQ and your previous choices.
| Setting (EN / BG) | Options | When it is shown |
|---|---|---|
| File name / Име на файла | Free text. Default "{project} — {BoQ} — v{version}.xlsx". "This is the name the recipient sees. A duplicate gets a number added to it." | Always. |
| Target / Изходен файл | Original imported file (Оригинален внесен файл) — "Write current prices into your uploaded workbook, preserving its formatting." Standard layout (Стандартно оформление) — "Generate the BuildColab standard bill of quantities from scratch." Default: Standard layout. | Drafts and offers. The original file needs an imported .xlsx source. |
| Import base / Първоизточник | Each imported workbook: "Imported {date} · sheet "{sheet}" · {count} rows", with its filter label. | Original imported file, when the BoQ was imported more than once: "Choose which workbook the prices are written into." |
| Prices / Цени | Standard unit price (Стандартна единична цена) — one unit-price column. Split (material / labour) (Разбивка (материал / труд)) — separate material and labor price columns. | Standard layout, priced BoQ, not an offer-request scope. |
| Scope / Обхват | Base version (Базовата версия) — "The base (locked) version, with the changes listed as corrections below." Current version (Текущата версия) — "The current version as a flat list — no corrections/deviations." | Standard layout, opened from the BoQ editor. |
| Apply on-screen filters / Приложи филтрите от екрана | On / off. "Applies: search, N tags, offer-request scope." | When the editor has an active search, filter categories or a selected offer request. Always on in an offer-request view. |
| Header template / Фирмена шапка | No header template (Без шапка) — "Export the priced workbook as-is." Or one of your company's header templates; the default one is pre-selected and marked Default (По подразбиране). "Compose a company header on top of the export." | Always. Without templates: "This company has no header templates yet." |
When the export is limited to a selected offer request, the wizard notes Generated without prices: "This is the file you send to the contractor. The Unit price column is left empty for them to fill in, and Total calculates itself."
- File name of the exported workbook.
- Target: Original imported file or Standard layout.
- Header template: No header template or one of the company's headers (this company has none yet).
- Prices: Standard unit price or Split (material / labour).
- Scope: Base version or Current version.
- Apply on-screen filters, shown when filters are active.
- Generate export creates the file.
How to export a BoQ
- In the BoQ editor, set the view you want: version, search and filter categories (if you want only part of the BoQ).
- Click Export (Експорт).
- Check the File name and choose the Target, Prices, Scope, Apply on-screen filters and Header template.
- Click Generate export (Генерирай експорт). The button shows "Generating export…".
- When the card Export ready — saved to BoQ documents. appears, click Open in editor (Отвори в редактора) to open it in the File Manager's spreadsheet editor, Download (Изтегли) to save it on your computer, or Close (Затвори).
- The card "Export ready — saved to BoQ documents." with the file name.
- Open in editor (Отвори в редактора) opens the file in the spreadsheet editor.
- Download (Изтегли) saves a copy to your computer.
- Close (Затвори) closes the wizard.
The toast says "Export "{file}" is ready in BoQ documents". On-screen filters are read at the moment you click Generate export, not when the wizard opened.
The standard layout
The standard layout is generated from the BoQ data, whether or not the BoQ was imported. Its column titles are always in Bulgarian:
| Variant | Columns |
|---|---|
| Standard unit price (7 columns) | Код, Описание, м.ед., Количество, Ед.цена, Обща стойност, Забележка |
| Split (8 columns) | Код, Описание, м.ед., Количество, Ед. цена материали, Ед. цена за труд, Обща стойност, Забележка |
| Quantity-only BoQ (5 columns) | Код, Описание, м.ед., Количество, Забележка |
- Each position's total is an Excel formula: quantity × unit price (split: quantity × (material + labor)), so the file recalculates if someone changes a number.
- Category rows sum everything below them.
- In the split variant, the material price = unit price × (material resources ÷ total costs of the analysis); the labor price is the rest of the unit price.
How the codes are numbered
The editor shows no numbers; the export creates hierarchical codes from the tree:
- positions at the top level without a category come first: 1, 2, …;
- top-level categories are numbered after them;
- inside a category, its positions are code.1, code.2, …, and its subcategories continue after the positions.
Example: a category "Excavation" (1) with two positions (1.1, 1.2) and a subcategory "Backfill" gets 1.3, and the positions inside "Backfill" are 1.3.1, 1.3.2.
Base version scope and the list of changes
With the scope Base version, the file holds the base (locked) version and, below it, a table Редакции по количествена сметка (bill of quantities revisions) with the changes since then and the totals "Обща стойност оригинал / корекция / сумарно" (original, correction, total). With Current version, the file is a flat list of the current version without corrections.
Exporting into the original imported file
Original imported file writes the BoQ's current prices into the cells of the workbook you imported, keeping its fonts, column widths and merged cells — ideal for returning the client's own form. Positions deleted after the import are left with an empty price and listed as revisions. It needs an imported source:
- A BoQ that was never imported (or whose source was deleted) shows "The original-file export needs an imported source file, but this offer doesn't have one yet. Import a bill of quantities first, or choose the standard layout instead."
- A source in the old .xls format shows "The imported original is a legacy .xls that can't be read for the original-file export. Re-import it as .xlsx, or choose the standard layout."
Where the exported file goes
Every export is a new file in BoQ documents in the project's File Manager; it never overwrites an earlier export or the original. Files are grouped by BoQ: the imported originals and the exports, newest first, with version, size and date. The file description records how it was made (variant, header, source, scope). From the File Manager you can rename, download, share or delete it like any project file. See Folders, uploading and navigation.
Exporting a resource analysis
A single position's resource analysis is exported separately with Export in the resource analysis panel. It downloads Resource_Analysis.xlsx directly to your computer and is not saved in the File Manager. See Resource analysis.
Errors
| Message | What to do |
|---|---|
| Failed to generate the export | Try again. Check that you have File manager at Edit. |
| The original-file export needs an imported source file… | Choose Standard layout, or import the BoQ first. |
| The imported original is a legacy .xls… | Re-import the workbook saved as .xlsx, or choose Standard layout. |
Common questions
Why didn't the file download automatically?
Exports are saved in the project's BoQ documents first. Click Download in the wizard, or download it later from the File Manager.
Why are the column titles in Bulgarian in my English export?
The standard layout always uses Bulgarian column titles (Код, Описание, м.ед., Количество …), the format expected for Bulgarian construction documents.
How do I export only part of the BoQ?
In the editor, search or filter by filter categories (or select an offer request), then open Export and keep Apply on-screen filters on.
How do I send a subcontractor a BoQ without prices?
Export from the offer-request view: the file is generated without prices, with an empty Unit price column and a self-calculating Total.
Why is "Original imported file" not offered?
The BoQ was not imported, or it is the budget, which always uses the standard layout.
Can I export material and labor prices separately?
Yes. Choose Standard layout and Split (material / labour).
