What the cash flow shows
- Planned value of work per period. Each dated row of the schedule spreads its planned quantity evenly over its working days (by the project's work calendar). The share in each period is multiplied by the unit price of the BoQ position.
- Including profit. The unit price is the same profit-inclusive price you see in the BoQ, so the cash flow adds up to the value of the scheduled work, not to your direct costs.
- Plan only. Reported progress, approved payment applications and invoices do not change it. It answers "how much work do we plan to do and when", which is the basis for a financing plan or a payment schedule with the client.
- Current state. It uses the current schedule version and today's BoQ prices. If you change dates in the Gantt or prices in the BoQ, the cash flow follows.
- Not included: rows without dates, rows with Manual distribution or zero quantity, positions without a price, and BoQ positions that are not in the schedule at all.
A worked example
A position "Concrete C25/30 for slabs" has 100 m³ in the schedule at a unit price of 120.00 EUR including profit. Its schedule row runs over 20 working days: 12 in March and 8 in April.
| Period | Working days | Planned quantity | Cash flow |
|---|---|---|---|
| March | 12 | 100 × 12 ÷ 20 = 60 m³ | 60 × 120.00 = 7,200.00 EUR |
| April | 8 | 100 × 8 ÷ 20 = 40 m³ | 40 × 120.00 = 4,800.00 EUR |
| Total | 20 | 100 m³ | 12,000.00 EUR |
If you add a public holiday in March to the work calendar, the row gets one more working day at its end, and the split changes accordingly.
How to open the cash flow
- Open the project's Construction schedule (Строителен график) on its current version.
- Click Reports (Справки) in the toolbar. The screen opens on the materials report.
- Click Filters (Филтри), then Clear (Изчисти). This selects Cash flow, groups By task and shows both quantity and value. Alternatively, click the icon "Only this report" on the Cash flow chip.
- Click Done (Готово). The title reads Cash flow with "{schedule} · breakdown by period" (разчет по периоди).
- The title Cash flow (Паричен поток) and "breakdown by period".
- The Pricing report (Ценови отчет) button.
- The column of the current month tagged "today" (днес).
- The Value (Стойност) of a row for the whole window.
- The footer Total per period (Общо по период).
- The scale controls with Month (Месец), Coarser and More detail.
How to read the cash flow
- Rows. With By task (По СМР) there is one row per BoQ position. With Structure (Структура) you see the schedule tree; collapse a category to see its totals per period, for example the planned value of the rough construction per month.
- Columns. No., Name, Unit, Quantity, Value, then one column per period. With Show set to Value (Стойност) you see money only; with Qty (К-во) or Both (Двете) the BoQ quantities are shown next to it.
- Totals. The footer Total per period sums each period; the Quantity and Value columns of each row sum the whole window (in the Excel export they sit under the heading Total for the whole period). Each schedule row is counted once.
- Periods. Week, Month (default), Quarter, Year. Weeks run Monday to Sunday; quarters are calendar quarters. Use Today to jump to the current period and Fit to the data to fit the window from the first to the last period that has figures.
- Empty periods show "No planned work in this period."
How to export the cash flow to Excel
- Set the grouping, the scale and the window you want to hand over, for example Structure, Month, the whole year.
- Click Export (Експорт) and wait for "Preparing the export…".
- An .xlsx file downloads with the same rows and periods as on screen, the object and the client in the header and the totals at the bottom.
The pricing report for one period
While Cash flow is selected, the toolbar shows Pricing report (Ценови отчет). It gives the value of the work planned between two dates you choose, its breakdown into materials, labor, machinery, services, additional costs and profit, and the rows it had to exclude. The value of the pricing report for a month equals the cash flow of that month. See Pricing report and schedule cash flow.
- Filters (Филтри), here with Group by set to Structure (Структура) and Show set to Value (Стойност).
- Export (Експорт).
- The quarter columns.
- A collapsed category row with its totals per quarter.
Cash flow, payment applications and the financial dashboard
| Tool | Answers | Based on |
|---|---|---|
| Cash flow | How much work do we plan to do, and when? | Schedule dates and planned quantities × BoQ prices |
| Payment applications | How much work was done and approved in a period? | Quantities reported and approved under a contract |
| Financial dashboard: committed, certified, margin | How do the budget and the subcontract costs compare, and how much is executed? | Budget, signed subcontracts and approved payment applications |
Common questions
Is the cash flow the money I will receive?
No. It is the planned value of work per period. What you are paid depends on approved payment applications and the payment terms of your contract.
Why does the cash flow include profit?
It uses the BoQ unit price, which includes profit and additional costs. For a view of costs by resource, use the materials, labor, machinery and services reports or the pricing report.
I reported progress but the cash flow did not change. Why?
The cash flow shows the plan. Progress shows in the Gantt and is billed through payment applications.
Why is the total of the cash flow lower than the BoQ total?
Some positions are not in the schedule, have no dates, have Manual distribution or have no price. Check them in the schedule's distribution columns.
