What the file manager is for
The BuildColab file manager is the single place where a construction team keeps its documents. Instead of e-mail attachments and shared drives, each drawing, contract and specification lives in one folder tree, with one current version and a full history. Everyone works from the same file: when a designer uploads a revised drawing, the file shows a Revised (Преработен) chip for 7 days and the people who have access get a notification.
The file manager also feeds other parts of BuildColab. You attach file manager documents to offer requests, bill of quantities (BoQ) imports start from Excel workbooks stored here, BoQ exports are saved to the project's BoQ documents (КСС документи) tab, company letterheads for exports live in the company's Letterheads (Шапки) tab, and BORO, the AI assistant, can search, read, create and organize files for you.
Company files and project files
BuildColab has two kinds of file areas. They work the same way; they differ in who they belong to and which tabs they show.
| Company file area | Project file area | |
|---|---|---|
| Where | Company sidebar → Files (Файлове), /companies/{company}/files | Project sidebar → File manager (Файлов мениджър), /projects/{project}/files. Available in every project phase. |
| What goes there | Company-wide documents: templates, policies, certificates, standard contracts, price lists. | Everything about one project: drawings, permits, contracts, protocols, site photos, models. |
| Tabs | Files (Файлове), Letterheads (Шапки), Trash (Кошче) | Files (Файлове), BoQ documents (КСС документи), Trash (Кошче) |
| Who can be given access | Members of your company. | Members of the project team, including people of partner companies on the project. Whole partner companies can be given read access through the Organizations (Организации) tab of the Share dialog. |
| Whose storage it uses | Your company's storage quota. | The storage quota of the company that created the project, even when a partner uploads the file. |
| Plan | Paid plans (Starter and above). | All plans, including Free. |
How access works
Access to files in BuildColab has two layers, and you need both.
- The role permission File manager (Файлов мениджър) decides whether you can open the file manager at all and what kind of actions you can take there. View (Преглед) lets you browse and open; Edit (Редакция) lets you upload, create, move, copy, delete and process models. Company administrators set it per role; see Roles.
- Per-item sharing decides which files and folders you see. Being on a project does not by itself show you its files. You see an item when you are its owner (you created or uploaded it), when someone shared it with you at Read (Четене), Comment (Коментиране) or Edit (Редакция), or when you are the company owner, who always has full access to every file of the company and of its projects.
Two rules follow from this. First, two colleagues on the same project can see different files in the same folder. Second, a new file or folder created inside a shared folder automatically gets that folder's sharing, while an item created at the top level of the file area is private to its owner until it is shared. Details are on Sharing, comments and mentions.
The typical sequence
- Create a folder structure at the top level, for example "01 · Drawings", "02 · Contracts", "03 · Protocols", or upload a whole folder from your computer with its structure kept. See Folders, uploading and navigation.
- Share the top-level folders with the right people, so that everything you later put inside is visible to them automatically. See Sharing, comments and mentions.
- Open Word, Excel, PDF, Markdown, text and CSV files directly in the browser, edit them and save. See Viewing and editing documents.
- When a document changes, upload a new version instead of a new file, so the history stays in one place. See Versions.
- Discuss documents in comments, mention colleagues with @, and resolve threads when they are done. See Sharing, comments and mentions.
- Process 3D/CAD models (Revit, IFC, DWG and others) for credits to view them in the browser and pin comments to them. See 3D/BIM models and processing credits.
- If something was deleted by mistake, restore it from the Trash (Кошче) within 30 days. See Trash and restoring.
- Use search across all folders, Markdown diagrams and AI-created pages, or ask BORO to find and summarize documents. See AI features: search, artifacts, diagrams.
- The File manager (Файлов мениджър) entry in the project sidebar opens the project's file area.
- The tabs Files, BoQ documents and Trash switch between ordinary files, the BoQ imports and exports, and deleted items.
- The Folders (Папки) tree on the left shows the folders you can see; the storage meter sits at its bottom.
- The search field Search files… (Търси файлове…) searches the current folder or every folder.
- The buttons New (Нов), Upload folder (Качи папка) and Upload file (Качи файл) add content to the open folder.
- The file list shows each file's name, version, size and last change; the version chip (here v3) shows how many versions a file has.
Storage and limits at a glance
| Limit | Value |
|---|---|
| Maximum size of one uploaded file | 200 MB |
| Maximum size for editing a document in the browser | 25 MB (larger files can still be downloaded) |
| Name of a file or folder | 2 to 50 characters; the sequences script, *, --, ; and / are not allowed |
| Description of a file or folder | Optional, up to 2,000 characters |
| Download several files as one ZIP | Up to 50 files and 750 MB in total; a larger selection downloads file by file |
| Trash retention | 30 days, then items are removed for good |
| Storage quota per company | Set by the plan (Free 1 GB, Starter 15 GB, Professional 100 GB, Business 500 GB, Enterprise by agreement), plus any extra storage packages you buy |
| Blocked file types | Executables and scripts such as .exe, .msi, .bat, .cmd, .dll, .sh, .ps1, .js, .jar, .php and .svg. HTML pages are accepted only as AI-created artifacts. |
The storage meter at the bottom of the folder tree shows how much of the company's storage is used. At 90 % it turns red and shows Your storage is almost full (Пространството ви е почти запълнено) with the button Expand storage (Увеличи пространството), which opens Additional storage (Допълнително пространство): extra gigabytes as a monthly subscription that activates immediately. At 100 % new uploads are refused with Storage is full. Free up space or upgrade your plan to upload a new version. Reading and downloading keep working and nothing is deleted automatically. See Subscription, plans and billing.

Common questions
Where do I find the file manager?
For company-wide documents, open the company sidebar and click Files (Файлове). For the documents of one project, open the project and click File manager (Файлов мениджър) in the project sidebar. The two file areas are separate: a file uploaded to a project is not visible in the company file area, and the other way round.
Why can't I see a file my colleague uploaded to the project?
Being on the project does not show you all of its files. You see a file only if you own it, if it was shared with you, or if you are the company owner. A file uploaded to the top level of the file area is private to the person who uploaded it until they share it. Ask your colleague to share the file or its folder with you, or to upload it into a folder that is already shared with you.
Why is the Files entry in my company sidebar locked?
The company file area needs a paid plan and a role with the File manager (Файлов мениджър) permission at company level. Without them the Files entry shows a padlock; on the Free plan you see "This feature is in a higher plan" (Тази функция е в по-висок план). On the Free plan only project file areas are available. Ask your company administrator to check your role and the company's plan.
Why can I open files but not upload anything?
Uploading, creating folders and creating files need the Edit (Редакция) level of the File manager permission in your role. Inside a subfolder you also need Edit access to that folder through sharing. If you only have View (Преглед) or a Read (Четене) share, the upload buttons do not help; the message is You don't have permission to add files to this folder.
Which company pays for the storage of project files?
Project files count against the storage quota of the company that created the project, even when the file was uploaded by a partner company's employee. 3D/CAD processing of project files is also charged in credits to that company.
What happens when our storage is full?
New uploads, new versions and restores from the Trash are refused with Storage is full. Free up space or upgrade your plan to upload a new version. Existing files stay readable and downloadable, and nothing is deleted automatically. Delete files you no longer need, upgrade the plan, or click Expand storage (Увеличи пространството) to buy additional storage.
What is the largest file I can upload?
One file can be up to 200 MB. Larger files are refused. Editing in the browser works for documents up to 25 MB; bigger documents can still be uploaded, stored and downloaded.
Do I get notified when files change?
Yes. The notification center has a File manager (Файлов мениджър) module that tells you about uploads into folders shared with you, new versions, restored versions, shares, comments, replies, mentions, resolved comments, deletions and finished or failed 3D/CAD processing. You are told only about files you can open. See Sharing, comments and mentions.
