What Meetings is for

On a construction site most decisions are taken out loud: at the weekly coordination meeting, during a site walk with the investor, on a call with the designer. Writing the minutes by hand takes time and often loses who agreed to do what by when. Meetings in BuildColab does that work for you:

  • Transcript: every line of the meeting, with the speaker and the time, which you can play back from any line.
  • Speakers: the voices are separated and matched to the attendees you listed; you correct a wrong match once and every line by that voice is renamed.
  • Report: a summary, the decisions taken and the tasks created from the meeting.
  • Task suggestions: new tasks with owner, due date and priority, changes to tasks already on your boards, and tasks people reported as done, each with the quote from the meeting it came from.

Nothing reaches a task board until a person accepts it. When you create the accepted tasks, they land on the board you choose, with a note in the description saying which meeting they came from, and the assignees receive the usual task e-mail.

Common questions

Why don't I see Meetings in the sidebar?

The Meetings entry is never locked by role or plan. If it is missing entirely, the module is not switched on for the BuildColab installation you are using; contact BuildColab support.

Do I need a special plan to use Meetings?

No plan limits Meetings. Recording and uploading are free. Processing a recording uses credits: 0.06 credits per minute of audio for the transcription, plus the AI analysis at normal BORO rates. See Credits (BORO, file processing).

Can someone from the subcontractor see our project meeting?

Yes, if they are on the project team. Project meetings are visible to everyone on the project team, including people from partner companies. Hold internal discussions as a company meeting from the company sidebar instead.

Does it understand Bulgarian with site noise?

Yes. Transcription is built for Bulgarian speech with several speakers and background noise. Quality still depends on the recording: put the device in the middle of the table, away from hard surfaces, and consider an inexpensive clip-on microphone.

Can I record a meeting in English?

Yes. The meeting's language is taken from the app language of the person who creates it. Switch your app language to English before you create the meeting; there is no language picker on the meeting itself.

Does BuildColab send the minutes to the attendees?

No. Meetings sends no e-mails of its own. Only tasks you create from the suggestions send the usual task-board e-mails to their assignees.

Can BORO work with meetings?

Yes. BORO can list meetings, read the transcript and the insights, and, after you approve each change (BORO asks for approval by default), create meetings and recurring meetings, manage attendees, match speakers, edit suggestions, create the tasks and re-run the extraction. Recording and uploading audio are only possible in the app. See What BORO can do.
