Version 2.2: contracting

Version 2.2 completed the subcontracting flow of a general contractor: planning when to ask for offers, handling an offer request after it is sent, awarding by line items, and comparing what was contracted with the budget.

Contracting schedule and packages

A new project module, Contracting schedule (График на договаряне). You split the BoQ into packages, for example Electrical or Joinery, and set the start on site, either from the construction schedule or by hand. BuildColab counts back in working days when each package must be sent, when offers must be in, when the winner must be chosen and when the contract must be signed. Each package follows its requests, offers and contracts, warns when a step is late and sends reminders to its responsible person. A new permission Contracting schedule (График на договаряне) controls it, with View and Edit levels; it is on at Edit for the default roles Company owner and Manager. See Contracting schedule and packages.

Offer requests after sending

A sent offer request can now be changed: its name, note, deadline and files can be edited, it can be withdrawn from one partner or from everyone, closed, and revised with changed positions. Partners in the tender receive the new revision with their offer carried over and the prices of unchanged positions kept. All actions are in one bar in the request panel, with the request status and a timeline. See Revisions, withdrawing and closing.

Award by line items and partial contracts

Compare and award (Сравни и възложи) lets you split the positions of one request between several bidders, save the award, and contract each winner, also for only part of its offer (a partial contract) or as an extension of a contract already signed with that company. See Awarding (whole or by line items) and Change orders and extensions.

Committed, certified and margin

Signed subcontracts now become commitments against the budget lines. The budget BoQ can show the columns Committed (Ангажимент), Certified (Сертифицирано) and Margin (Марж), and the financial dashboard calculates costs from them. Contract lines that could not be placed are listed as Unlinked (Несвързани) and linked with Link lines (Свържи позиции). See Financial dashboard: committed, certified, margin.

Contracts and payment applications

  • Partial acceptance. An investor can accept only the priced part of a budget draft with Accept part of the budget (Приемане на част от бюджета); the rest moves to the draft of the next budget. A change order you finalize yourself can be finalized in part with Finalize part (Финализирай част); the rest moves to a new change draft. See Partial acceptance.
  • Payment applications with rounds. A submitted report goes back and forth between the two companies in turns, with Approve, Counter and Reject, and every round is kept in the history. A general contractor can copy its subcontractors' approved quantities with Pull from contractor reports (Изтегли от отчети на изпълнители). See How a payment application works.
  • Positions outside the contract. Work that is not in the contract can be added to a payment application as new positions and priced with a resource analysis. They join the contract when the report is approved. See Positions outside the contract.
  • Register, summary and exports. Every payment application of a project or company is in the Report Register (Регистър на отчети), with a summary by resource type and Excel exports. See Register, summary and exports.
  • Self-contracts and self-managed subcontractors. Turn your own offer into a contract when your client is not on BuildColab, and record offers, contracts and payment applications of subcontractors who are not on BuildColab. See Self-managed subcontractors and self-contracts.

BoQ and schedule

  • Saved imports. A BoQ import from Excel is saved on the server as you correct it. Colleagues can continue it, and you can close the browser and resume from Imports in progress. Files exported from estimating software can be imported together with their resource analyses. See Importing a BoQ from Excel.
  • Exports to the File Manager. BoQ exports are saved in the project's File Manager, with company letterheads. See Exporting.
  • Schedule with BORO. BORO can create a schedule, its categories, group tasks, milestones and dependencies, set dates, match an imported schedule to the BoQ, report progress, lock and export it, each change after your approval. See Schedule and What BORO can do.
  • Slices for subcontractors. Publishing a master schedule sends each subcontractor with a signed contract a read-only slice of its scope. See Publishing to subcontractors (slices).

New modules

Meetings

Record a site or office meeting in the browser or upload the audio. BuildColab transcribes it, separates the speakers, writes a report with the decisions, and suggests new tasks and changes to existing tasks, which you accept onto a task board. Transcription costs 0.06 credits per minute; recording and uploading are free. See Meetings.

Task boards and the calendar

Work tasks (Работни задачи) are boards of operational tasks for the company or a project, with four fixed statuses, labels, subtasks, comments and images. The calendar in the top bar shows your tasks by due date and your meetings by time. See Task boards and Calendar.

File manager

The file manager has company and project file areas with folders, versions, sharing at Read, Comment and Edit levels, comments with @mentions, a 30-day Trash, browser editing of Word, Excel and PDF files, and notifications about file events. See File manager.

  • AI features. Search inside documents where content search is enabled, interactive artifacts created by BORO, and Mermaid diagrams. See AI features: search, artifacts, diagrams.
  • 3D/CAD processing credits. Revit, IFC, Navisworks, DWG and other models are processed for the 3D viewer on request, for credits from the company balance. The price is shown before you confirm and is charged only when processing succeeds; content already processed in your company is reused free. There is no free monthly processing allowance. See 3D/BIM models and processing credits.

Notifications

The bell in the top bar has a Needs action (Изисква действие) tab whose counter shows what waits for you, pop-up cards, a full notifications page and per-project, per-section settings behind the gear. See Notifications and their settings.

Common questions

I don't see a module described here. Why?

Some modules, such as Meetings and Work tasks, are switched on per installation; where they are not, their entry is missing. They have no role permission and no plan lock, but many other modules need a paid plan and a permission. Check Troubleshooting and FAQ and Permission reference.

Do I have to set anything up to use the contracting schedule?

Your role needs the Contracting schedule permission, your company must have created the project, and the plan must include it. The module appears from the Offer sent phase onwards and is hidden while the project is in Budgeting or Offering. Default lead times can be set by an administrator. See Contracting schedule and packages.
